let your calendar do the heavy lifting

Hi there,

When you rely on memory to keep track of everything, you’re setting yourself up for stress. It’s easy to feel overwhelmed when your mental to-do list looks like a plate-spinning act.

Let Your Calendar Do the Heavy Lifting

The simplest way I’ve found to lighten this load is to make the calendar your personal assistant. Instead of treating your calendar as a place just for meetings, use it to block out focused work time, personal projects, and even reminders for small habits you want to build. Once tasks live on the calendar, your mind is free to focus on the work itself—not on remembering what needs to be done next.

Here are a couple of quick pointers:

  • Schedule your highest-impact work for the time of day when your energy peaks. For some, that’s first thing in the morning; others hit their stride after lunch.
  • Don’t just add big events. Block off 15-minute windows for things like email triage or a short walk. It all adds up.
  • Protect your focused work blocks as if they were meetings with someone important—because they are.

To make this even more effective, color-code different types of activities. For example: blue for creative work, green for admin, yellow for breaks. This makes it easy to glance at your week and see where your attention will go.

"The key is not to prioritize what's on your schedule, but to schedule your priorities."

— Stephen Covey

Try it today:

Pick one task you want to finish tomorrow. Open your calendar and put it in as a real appointment—title, start time, end time. Treat it with the same respect you’d give a meeting that can’t be missed. Sometimes, better results aren’t about working harder—they’re about making your systems do the remembering for you.
